Job Description: Job Summary
Assist those within the Project Office Site with daily office duties.

Responsibilities
The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities and skills required of personnel so classified.

* Perform daily managerial duties related to the Project Office.
* Oversee the generation, submission and distribution of required daily, weekly, monthly, and/or quarterly reports.
* Complete travel arrangements for administrative employees and corporate visitors.
* Maintain control over office procedures.
* Ensure that internal controls are being followed.
* Maintain good relations with key contacts, co-workers.
* Timely and correct submittal of all paperwork assigned
* May manage front-desk duties, i.e., greeting visitors, distributing incoming and outgoing mailings, making certain all printers, faxes, copiers are in good order, ordering office supplies.
* Work with Actus Lend Lease, Lend Lease, Bovis Lend Lease IT personnel for all network, server, communication and software issues for the Project Office.
* Oversee the hiring, employment, PTO and timecards procedures for all project employees. Forward all payroll paperwork to Nashville office.
* Have knowledge of all duties assigned to the Administrative Assistant(s) and Receptionist in order to assist with, assume, or train others in those duties.
* Complete, distribute and file all reports, correspondence and other paperwork assigned.
* Supervise the receipt, distribution and filing of all incoming correspondence.
* Maintain an up-to-date contact list, with copies monthly to Nashville.
* Prepare and submit expense reports for reimbursement, as required.
* Act as an “authorized signature” for visitor access to post.
* Update the protocol list annually or as requested.
* Assist with the preparation and presentation of MS PowerPoint presentations, as necessary.
* Assist in coordinating attendance to IIF safety classes.

Asset Management Responsibilities

* Assist the Controller, Asset Managers, and Project Director with day-to-day administrative duties and special projects.
* Be aware of the budgets in the General Conditions under the project office control, and either work within those restraints or show just cause why certain amounts need to be amended.
* Prepare and distribute purchase orders and purchase order agreements, and updating the respective logs.
* Correspond with bi-weekly meeting attendees to compile an acceptable agenda for each meeting. Attend meetings and prepare, distribute and file meeting minutes.
* Organize and update the Project Budget and Business Plan annually and distribute to those requesting a copy.
* Maintain monthly and quarterly Incentive Fee Documents.

Construction Responsibilities
· Create/Prepare outgoing correspondence to the government, subcontractors, and other outside entities, ensuring accuracy, quality and professionalism of work.
· Maintain and update project budget information/accounting reports.
· Input subcontracts, consultant agreements and purchase orders into JD Edwards.
· Verify and process supplier invoices and subcontractor billings for Project Manager’s approval and submission to the home office for final review and approval.

* Process subcontractor insurance for all projects.

· Prepare all bid packages, plans, and specifications, keeping a log of mailings and recipients for the specific project.
· Prepare, distribute and track (logs) including, but not limited to, scope changes, purchase orders, insurance, contract, project and shop drawings to owner, trade/subcontractors and project staff.
· Assist in ensuring all required consultant, subcontractor and supplier information is received and is correct and complete, i.e., insurance certificates, signed purchase orders, letter s of agreement, purchase order agreements, subcontracts, government cost proposals, change orders, and SF1413’s.
· May help trade/subcontractors understand processes required for payment, etc. And verify trade subcontractor information.
· Assist the Project Manager in completing monthly billings to the Government, and submit for payment.
· Assist the Project Manager in preparing and distributing purchase orders, purchase order agreements, process subcontractor change orders, and government cost proposals.
Assist the Safety Engineer (or person assigned to that position) in first-aid practices, emergency situation, and workers compensation and accident reporting.
· Assist the Safety Engineer with the procedures for employee drug-testing.
· Knowledge of all Davis-Bacon and payroll requirements which are required of all contractors on the project.
· Oversee the monthly submission of subcontractor new employee site induction paperwork.
Minimum Requirements
General Background and Minimum Requirements

* Four-year business degree or equivalent work experience.
* 3 – 5 years of work experience.
* Proven ability to handle heavy work volume.
* Proven interpersonal and organizational skills to direct and communicate with others.
* Proven proficiency in current corporate software packages
